How 222 IT Solutions collects, uses and protects your personal information.

Last updated: 5 September 2026

This policy explains what personal information 222 IT Solutions collects through this website, why we collect it, what we do with it and what rights you have over it. It is written to meet our obligations under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Who we are

222 IT Solutions operates this website (222itsolutions.com) and is the data controller for the information described in this policy. That means we are responsible for deciding how and why your information is used.

What information we collect

We only collect information you choose to give us. Specifically:

  • Enquiry form. When you complete the form on our contact page we collect your name, your email address, and — if you choose to provide them — your phone number and company name, together with the subject you select and the message you write. We also record that you ticked the consent box and the exact wording you agreed to. This is stored on this website for 6 monthsas well as being emailed to us.
  • Direct contact. If you email or telephone us, we hold whatever information is contained in that correspondence.
  • Server logs. Our hosting provider records standard technical information for every visit, such as IP address, browser type and the pages requested. This is generated automatically, is used only to keep the site running securely, and is not linked by us to any individual.

We do not ask for or collect any special category data — information about health, ethnicity, religion, political opinions, sexual orientation, trade union membership or biometrics. Please do not include such information in an enquiry.

Why we use it, and our lawful basis

  • To answer your enquiry. Lawful basis: legitimate interests — you have approached us about our services and it is in both our interests that we reply.
  • To provide services you engage us for, and to keep records of that work. Lawful basis: performance of a contract.
  • To keep the website secure and working. Lawful basis: legitimate interests in preventing abuse and diagnosing faults.
  • To meet legal and accounting obligations. Lawful basis: legal obligation.

We do not use your information for automated decision-making or profiling, and we do not send marketing emails to enquirers. If we ever introduce a mailing list it will be strictly opt-in and this policy will be updated first.

Cookies

A cookie is a small file stored on your device by a website. This site uses cookies sparingly:

  • Essential cookies and local storage. We record the choice you make in our cookie banner so that we do not ask you again on every page. This is stored in your own browser, is not shared with anyone, and cannot be used to identify you. Essential storage of this kind does not require consent.
  • Optional analytics cookies. If analytics are enabled in future, they will be loaded only after you accept optional cookies in the banner. Rejecting optional cookies means none are set.

You can change your choice at any time using the Cookie preferences link in the footer of every page, and you can block or delete cookies in your browser settings. Blocking essential storage may mean the cookie banner reappears on each visit.

Who we share your information with

We do not sell your personal information, and we do not share it for anyone else's marketing. We share it only with the suppliers that make this website and our business work:

  • Our hosting and email provider, which stores the site and delivers enquiry emails to us.
  • Professional advisers such as our accountant, where there is a legal or accounting reason to do so.
  • Law enforcement or regulators, where we are legally required to disclose information.

Where your information is stored

When you send an enquiry it is stored in this website’s own database, on our hosting provider’s servers, and a copy is emailed to us so that we see it promptly. Only the people who administer this website can read the stored copy, and they sign in with a password to do it. Where a supplier processes information outside the UK, we rely on the safeguards permitted by UK data protection law, such as UK adequacy regulations or standard contractual clauses.

How long we keep it

  • Enquiries sent through the contact form: stored for 6 months from the day you send them, then deleted. Each enquiry carries its own deletion date from the moment it arrives.
  • Client records: kept for the duration of the work and then for 6 years after the end of the relationship, to meet HMRC and contractual record-keeping requirements.
  • Server logs: retained by our hosting provider on a short rolling basis.

If you ask us to delete your enquiry before then, we will — see Your rights below. Deletion is permanent: the record is removed from the database rather than hidden.

How we protect your information

This site is served over an encrypted HTTPS connection. Stored enquiries can only be read from an administration area that requires a password to sign in to, and that area is not linked from anywhere on the public website. Access to our email account is likewise restricted and password protected. No system is perfectly secure, but we take reasonable and proportionate measures to protect information against loss, misuse and unauthorised access.

Your rights

Under UK data protection law you have the right to:

  • ask what personal information we hold about you, and get a copy;
  • have inaccurate information corrected;
  • ask us to delete your information, where we have no continuing reason to keep it;
  • ask us to restrict how we use your information;
  • object to our use of your information where we rely on legitimate interests;
  • ask for your information in a portable, machine-readable format;
  • withdraw consent at any time, where our use is based on consent.

Exercising these rights is free, and we will respond within one month. To make a request, contact us using the details below. If you ask us to delete an enquiry you sent, we remove the stored record permanently rather than marking it hidden, and we will confirm once it is done.

How to complain

Please tell us first if you are unhappy with how we have handled your information — we would rather put it right. You also have the right to complain directly to the Information Commissioner's Office, the UK supervisory authority for data protection, at ico.org.uk/make-a-complaint or on 0303 123 1113.

Changes to this policy

We may update this policy as our services or the law change. The date at the top of this page shows when it was last revised. Material changes will be made clear on this page.
